Submit a Proposal

Timeline

  • Mid- March: Session proposals open.
  • 23 April 2025 (23:59 EDT/03:59 UTC): session proposal deadline.
  • AGU25 Program Committee begins reviewing session proposals.

Session Proposal Review:

  • The Program Committee may:
    • Reject or merge similar proposals.
    • Move sessions to another AGU section.
    • Request revisions to session titles/descriptions.

Mid-June: Conveners are notified if their session proposals are accepted, and sessions are open for abstract submissions.

  • 16 July (23:59 EDT/03:59 UTC): Deadline for session conveners to invite authors to submit abstracts to your session.
    • Invited authors must submit abstracts via the formal invitation by 31 July deadline, request a membership waiver (if applicable) and pay all fees.
    • Conveners should invite and follow up with up to two authors to submit to their sessions.
  • 30 July (23:59 EDT/03:59 UTC): abstract submission deadline.
    • Conveners must:
      • Monitor abstract submissions for topical relevance.
      • Contact the program committee to transfer misplaced abstracts by this date.
    • Conveners should review abstracts for:
      • Topical relevance and scientific merit.
      • Invited author submissions.
      • Session merging opportunities if abstracts are few.
  • Early August:
    • Program Committee allocates poster, oral, eLightning session types.
    • Conveners can no longer transfer abstracts.
  • Late August:
    • Conveners are notified of their session allocations.
    • Conveners review, rate, and order abstracts and recommend rejections to program committee.
    • Conveners designate at least two session chairs and one Outstanding Student Presentation Award (OSPA) liaison.
  • Early September:
    • Conveners lose access to sessions online as the committee takes over scheduling.
    • Program Committee meets and finalizes program schedule.
  • Early October:
    • Abstract notifications and official session schedule notifications are sent.
    • Authors must accept or decline presentations.
    • Conveners monitor oral and eLightning sessions for withdrawn abstracts and adjust session plans accordingly.
  • After the program is published:
    • Conveners may replace withdrawn oral or eLightning presentations with poster presentations (with author consent).
    • No new abstracts can be added to sessions.
  • 15-19 December: AGU25 takes place in New Orleans, LA
