VISA Appointments
AGU has registered AGU24 with the U.S. Department of State to assist with visa appointments. All scientists with accepted abstracts should have received an invitation letter as part of their documentation to help with the visa process. If you did not submit an abstract and need assistance obtaining an invitation letter, please contact the Member Services Team.
After applying for a visa appointment, the next potential step to help with your visa process is to contact the National Academy of Science, Engineering and Medicine International Visitor Office (IVO). They often assist scientists with expediting the visa process to get appointments moved.
Scientists who have been accepted as speakers or attendees for AGU24 may request help from IVO to expedite the visa process by completing the Visa Questionnaire on their site. This questionnaire should be completed after you have already reserved a visa appointment in your country. An already established visa appointment is crucial to working the IVO, even if that appointment is 2025.
Because of the personal information the IVO needs to move forward with requests, AGU staff or volunteer leadership are unable to make a visa request on behalf of scientists. The IVO has provided a checklist to help you prepare for their Visa Questionnaire needs.
American Geophysical Union (AGU) is committed to providing a safe and healthy environment for AGU24 attendees and staff. Since keeping people safe and healthy during AGU24 is a shared responsibility by everyone from attendees to exhibitors to reporters to staff, AGU will comply with all applicable requirements from federal, state and local health authorities. AGU will continue to monitor health and safety issues such as the COVID-19 pandemic and follow CDC guidelines as they are released.
AGU strongly encourages all attendees to be up to date on all vaccinations. AGU will not require the validation of vaccine information via a third party. However, we will reconsider this requirement if conditions and guidance from health professionals change.
Masking requirements will be assessed near the meeting dates and will be available onsite for any attendee who needs them.
Safe AGU
AGU is committed to promoting a safe work environment in the Earth and space sciences and ensuring that all AGU program activities are free from discrimination, bias or harassment of any type. One way we do that is through our Safe AGU program at AGU meetings, which includes workshops for attendees. This program was designed to promote safety and offer support to meeting attendees who may feel harassed, threatened or unsafe in any way when participating in AGU Meetings.
Volunteers and staff at AGU events wearing Safe AGU buttons have been trained to assist those who experience unsafe or inappropriate behavior. If you are unable to find someone with a SafeAGU button during AGU24, please visit the Meeting Services desk at registration.

To assist you to secure funding and time you want to attend AGU24, we’ve developed a brief justification letter available to download. We encourage everyone to personalize it as much as possible with details about your science and what you’re most excited about for the Annual Meeting.
Volunteer as an OSPA Reviewer
Please note: Only registered AGU24 meeting attendees are eligible to volunteer. If you have not registered for AGU24, you will not be able to access the OSPA platform.
The primary goal of the Outstanding Student Presentation Awards (OSPA) is to provide student presenters at AGU meetings with valuable feedback on their research and presentation skills, helping them advance their careers. Any AGU24 attendee can volunteer to give written feedback to OSPA presenters as a reviewer.
Why Become a Reviewer?
- Support Student Growth: Your insights can make a real difference in a student’s research journey.
- Engage with the Community: Immerse yourself in the collaborative spirit of the AGU Annual Meeting and connect with the next generation of scientists.
If you're a registered attendee of AGU24, we invite you to consider volunteering as an OSPA reviewer! You’ll have the opportunity to review student presentations and contribute to their development.
How It Works
- Sign up as a reviewer on the OSPA platform, iPoster.
- We ask that you review at least three presentations.
- You can choose presentations before or during the meeting, and you have until 15 January to submit your feedback.
Students are also welcome to volunteer as OSPA reviewers.
Join us in nurturing the future of science—your participation matters!
Participating in the Student Volunteer Program is a great way for students to get a behind-the-scenes look at how AGU manages such a large meeting while also earning free student registration for at least eight hours of volunteer time.
Applicants are not guaranteed a volunteer position. Only a few dozen positions are available, and volunteers are selected based on their suitability for the available positions. Once volunteer positions have been assigned, adjustments to the position cannot be made. Student volunteers who are unable to fulfill their minimum eight-hour commitment to the program will forfeit the opportunity and will not receive complimentary registration.
Contact AGU should you have questions about this program.
Applications are open and close on 6 November 2024 at 23:59 ET/03:59 +1 GMT. Position descriptions and shift times are noted in the application and are subject to change prior to the application period.

Back by popular demand, you can “bump into someone in the hallway” at #AGU24 using the Braindate networking platform. If you want to meet up one-on-one or with a small group to discuss a scientific or other topic, this is the place to go!
#AGU24 attendees are able to book one-on-one conversations or meet with up to four others (total group of 5) around a specific topic. At the scheduled time, you and these new or known colleagues will meet for 30 minutes for one-on-one topics to 45 minutes for a group discussion. Participants will meet in-person in Washington, D.C. at the Braindate Lounge in the convention center.
Here's How it Works:
Then Explore the Topic Market, where you can browse topics others have posted related to knowledge they’d like to share, or anything they’d like to discuss. This is also where you’ll post topics for others to book!
Group braindates happen at one set time: you’ll simply reserve a spot to join one.
When it’s time to meet, check in at the Braindate Lounge in the Hall B Concourse, near the Poster Hall entrance, for your braindates.
You don’t have to be an expert to lead a conversation! This is not a platform to lecture on; it’s one to learn and connect on. You can expand your network, learn new viewpoints, troubleshoot a challenge, or connect on shared interests and experiences.
Conversation ideas can include:
- Discussion of personal or scientific interests
- Participating in a small group to talk about career path advancement
- Building your network beyond who you might normally meet
Here are just a few topics that have already been suggested by fellow attendees!
- Critical zone science (in various disciplines)
- Challenges and opportunities of working with local populations to conduct science
- How do you pack for your first trip to Antarctica?
- Learning or teaching without field work
Start your list of topic ideas now and be ready for when the Braindate platform is available during the meeting. The topic market will be accessible for scheduling starting on 25 November through the #AGU24 platform or mobile app. Simply access the site, create a Braindate profile account, then browse for topics or add your own.
Braindates can be scheduled during the following dates of AGU24:
Monday, 9 December
12:00pm – 5:00pm ET

Accessibility
AGU aims to hold meetings, conferences, and other professional events where barriers of any type do not exclude people from attending or participating. AGU24 will be hosted in-person and online. We are working to expand access to meeting content through closed captions, transcripts, and universal principles of user experience design. Despite those efforts, some content may not be accessible via a screen reader or other tools. Should you have trouble accessing portions of the meeting, please contact AGU24 support.
AGU24 strives to be as inclusive as possible and will have closed captioning available for most sessions. Each session room will have a designated location for wheelchair or scooter viewing.

Choose a Readable Font
- Suggested fonts include Helvetica, Arial, and Verdana.
- Have up to six lines of text with only about five or six words per line
- Use left justification
- Text must be large enough to be read by most low vision people in the front of the audience and by people with ‘normal’ vision at the back
- A recommended text size is no less than 32 point
- Use mixed upper- and lower-case letters rather than all capital
- Avoid the use of italic font style
- Try not to use more than one font type per slide
Control Brightness and Contrast
- Using appropriate brightness and contrast is a great way to improve the readability of your slides.
- Try employing a light background with dark text and graphics for your slides. This combination provides enough contrast that boosts the readability of your work for anybody who might have trouble distinguishing one color from another. When deciding on your color palette, always go for clarity instead of only visually appealing colors.
- Use dark background colors and bright colors for the text to avoid glare
- A white font on a deep blue background is a very good combination
Limit Animations and Effects & Graphs
- Animations and effects might not sit well with visually impaired people, so keep them at a minimum. Partially sighted audiences wait for the text to stop moving before they can start reading it. Steer clear from moving text effects such as “Fly In,” “Bounce,” “Spiral,” or “Zoom.”
- Keep figures and graphs as simple as possible
- Use brightness and contrasting colors in the same way as with text
- Use sans serif font types for the text in the figures
- Oral support during slide viewing
- When you introduce yourself, explain the format of the session and when you will take questions
- Read aloud all text presented on slides
- Explain figures and graphs
- Explicitly mention the region of interest in the slide, do not just point to it
- Explain each slide in an expressive manner so that the audience understands which area of the slide you are referring to
- If you need to use a lot of text on a slide, read it slowly and clearly
Help For Those Who Are Blind
- Have your material available so that blind members can download it onto their laptops. Ideally, also have your material in other accessible formats such as Braille or on CD
Presentations can also be provided on the web – either as HTML or as downloadable Word or PowerPoint.
