Proposed session topics are submitted for review and accepted and allocated by the TESS Scientific Organizing Committee.

The proposal guidelines are provided to help inform your submission. Session topics are meant to be broader than traditional session proposals. Session topics will be evaluated by the scientific organizing committee and the final sessions will be determined by the committee.

If the session topic is chosen, this does not automatically assume the submitter is a convener for the final session. The scientific organizing committee will work with the submitter to add session conveners.

The session topic submission deadline was 11:59 p.m. ET on 7 June 2023.

Session Topic Headline and Description

Proposed session topics must include a one-sentence headline (up to 50 words), accompanied by a 2-3 sentence description of why the topic is relevant and timely (limit 100 words). Session topics should be designed to have a broad appeal and to engage multi-national participation.

Submitter

There will only be one submitter for a session topic. The submitter may or may not be chosen as the convener for the session. At least one of the session conveners of accepted sessions will need to be available in early November 2023 to finalize scheduling of the abstracts within their sessions.

Topic Area

Session topic submitters will select a primary topic area that is relevant to the submission. Topic areas are a way of organizing session topic submissions for the scientific organizing committee and help meeting attendees plan their time. There is no content other than the title.

The TESS24 topic areas are:

• Mesoscale processes and mesoscale systems
• Causes and consequences of CMEs and CIRs
• Reconnection in space plasmas (collisional and collisionless)
• Acceleration, dynamics, and impacts of energetic particles in space
• The role of wave-particle interactions in heliophysical plasmas
• Ion-neutral coupling throughout the heliosphere
• Cross-regional coupling (e.g. photosphere-chromosphere-corona; corona-solar wind; solar wind-magnetosphere; magnetosphere-ionosphere-thermosphere)
• The processes responsible for hazardous high energy particle environments
• Science infrastructure: e.g. coordinating data from missions, ground based assets, data assimilation, open science, citizen science, international collaborations, interagency collaborations, etc.

Session Formats

The proposed session topic will be considered for either an oral session format or a poster session format. An oral session is not guaranteed.

Session Merging and Modifications

Session topic submitters should understand that the scientific organizing committee will merge session topics if multiple similar topics are submitted. In addition, the scientific organizing committee may request modification in the description of the session topic or move it to a more appropriate topic area than the one to which it was submitted. The scientific organizing committee will work with session conveners throughout the merging process after all proposed session topics have been submitted.

Restrictions

Session topics must be based on scientific value and not have a focus other than scientific results and/or their applications; thus, sessions that are celebratory or in honor will not be considered. Session topics cannot be in tribute to a specific person or contain the name of a scientist in the session headline or description. Session topics that are deemed to be primarily advertisements of commercial products and services will also not be considered, nor will session topics that contain the name of a specific experiment in the headline or description.

Submission Review Process

The scientific organizing committee will review all proposed session topics in June 2023. The evaluation process will include decisions to merge session topics to avoid duplicate sessions on similar subjects within or across topic areas. The scientific organizing committee will notify session conveners when sessions need to be merged and/or descriptions revised. Session conveners will receive an email regarding the final status of their proposed session topic in July 2023.

Abstract Submissions

During the abstract submission period of 20 July – 11 October 2023, session conveners should promote their session to potential authors and monitor the abstracts being submitted to their session using the online abstract viewer. TESS24 Staff should be alerted by a session convener if there are abstracts in a session that are not topically relevant. Email [email protected]. After the scheduling phase in late October to early November (see scheduling information below), abstracts will no longer be available for viewing until the program is finalized by the scientific organizing committee in November.

Scheduling Abstracts

In late October, session conveners will receive communications from the scientific organizing committee regarding the format(s) assigned to their session: oral or poster (when sessions have sufficient submissions to span multiple time slots). Not all sessions will receive an oral session assignment and some sessions will only receive poster assignments. Session conveners will have approximately one week from 27 October - 3 November 2023 to review and schedule the abstracts within the session formats they have been allocated. Detailed scheduling instructions will be provided.
