Presenter & Chair Guidelines

This is your one stop for all of the information you need to chair or present in an oral or poster session. Instructions differ based on your role and the way you are attending. Please select accordingly:

Oral Session Chair Guidelines

Oral sessions will be 90 minutes and will take place daily from 11:00–18:00 CST on 9-12 April.

You must register to chair a session at TESS24.

GET READY TO CHAIR

  • Session chairs play an important role in making sure that session attendees feel safe, welcomed, and included.
  • Help ensure that sessions reflect diversity, inclusion, and excellence in science.
  • Review how the session will run and identify a general discussion topic based on the session.
  • Prepare to discuss the larger science questions around presentations or to explore future needs and challenges.
  • Reach out to the presenting authors in your session prior to the meeting. Session chairs will be provided with an updated report of presenters via the User Portal.

FILL EMPTY SLOTS

  • If a presenter withdraws from an oral session, chairs can request a replacement from the accompanying in-person poster session by contacting the Scientific Program Team.
  • This can only be done to and from accompanying sessions.
  • This can only be done with the presenter's explicit consent.
  • New abstracts cannot be added.
  • After receiving consent, include the following in your note to the Scientific Program Team:
    • Details of the withdrawn abstract
    • Details of the abstract that will be moved into the oral presentation slot
    • The email or message where the presenter gave consent to be moved.

ARRIVE AT YOUR SESSION EARLY

  • Arrive at your session 20 minutes before it starts.
  • Session moderators will introduce presenters and moderate the Q&A.
  • Technical support will be available.

CHAIR YOUR SESSION

  • Encourage participation and treat all presenters and attendees with respect.
  • Introduce authors and facilitate discussion.
  • Be aware of aggressive questioning that borders on bullying or harassment, especially if directed towards students or early career scientists. Please speak up and intervene.

Poster Session Chair Guidelines

Dedicated poster sessions will take place daily from 9-12 April.

Poster presentations cannot be added or moved to different poster sessions.

You must register in order to chair at TESS24.

GET READY TO CHAIR

  • Reach out to the presenting authors in your session prior to the meeting. Session chairs will be provided with an updated report of presenters via the User Portal.

ARRIVE EARLY FOR PRE-CHECK

  • Presenters may start setting up their posters on Monday, 8 April.
  • Help authors having trouble with layout or set-up.
  • Make sure authors’ poster boards are numbered correctly and that presenters' availability signs are visible.
  • TESS staff will be available to provide assistance at the Poster Assistance Desk, where you will also find push pins.
  • Note any empty poster boards. (Your evaluation survey will ask for any “no-show” presentations.)

CHAIR YOUR SESSION

  • Encourage participation and respect all presenters and attendees.
  • Introduce attendees to authors and facilitate discussion.
  • Perform “crowd control” in the aisles if needed.
  • Be aware of aggressive questioning that borders on bullying or harassment, especially if directed towards students or early career scientists. Please speak up and intervene.
  • Reach out to a TESS staff person at the Poster Assistance Desk for assistance.
  • Remind authors to remove their posters by Friday at 18:00 CST. Any posters remaining at that time will be recycled.
 

Oral Presenter Guidelines

Please prepare a PowerPoint with your content. Slides must be submitted ahead of the meeting. An AGU representative will contact you with a Dropbox link to upload your slides. There will be no onsite speaker ready room for this meeting.

Presentations should be formatted to 16:9 if possible. The podium laptop will be a PC. If your presentation includes audio or video, MP4 is the preferred format.

Please consider the following recommendations:

  • Be considerate of other speakers and the audience by staying within your allotted time. The individual presentation time includes three minutes for discussion and changeover to the next speaker. Session chairs will hold you to the allotted time, which is essential to ensure adequate time for questions and discussion.
  • Please discuss the material as reported in your submitted and approved abstract.
  • Prepare your presentation in advance so that your ideas are logically organized and your points are clear.
  • Take time to rehearse your presentation. If your presentation runs longer than the allotted time, eliminate the least essential material and rehearse again.
  • Give an opening statement to acquaint the audience with the nature and purpose of the study. Speak slowly and clearly. Word choice should be simple: use active words and short sentences.
  • Use the microphone and speak toward the audience. It is difficult for the audience to hear if you turn your head away, so please have copies of your presentation at the podium.

Poster Presenter Guidelines

Authors are expected to be available during both AM & PM dedicated poster viewing times on their assigned day. Push pins will be available in the poster hall area. Your space on the poster board is yours from Tuesday through Friday. For maximum attendee viewing, please set up Tuesday and collect your poster Friday.

Any remaining posters left unclaimed Friday after 18:00 CT will be removed and recycled. If you wish to keep your poster, you must remove it by this time.

Poster Requirements and Best Practices

Dimensions

  • Maximum Poster Dimensions: 45” x 45” (3.75 feet by 3.75 feet). Allow for a 2.54-centimeter (1-inch) border.
  • Each presenter will share an 8’W x 4’H posterboard.

Font Requirements

  • Paragraph/captions — 24 points (0.9 centimeters high) Minimum
  • Headers — 36 points (1.2 centimeters high) Minimum
  • Use different colors and textures/symbols for each line or bar.
  • Use a serif font (e.g., Times) for main text.
  • Use a non-serif font (e.g., Arial or Helvetica) for headers and labels.

Important details

  • Do not laminate your poster so that it can be recycled.
  • Put the title and number of your paper at the top of the poster board. The number after the hyphen in your final paper number is your poster board number (e.g., The board for paper “109-030” is “030”).
  • Highlight authors’ names and contact information.
  • Make sure diagrams or charts can be read from 2 meters away.

Best Practices

  • Organize the poster so it is clear, orderly, and self-explanatory.
  • Group similar ideas together.
  • Label elements as I, II, III; or 1, 2, 3; or A, B, C.
  • Avoid clutter (e.g., too much text).
  • Include key details such as background, results, and conclusion.
