eLightning presenters received instructions on how to create their interactive poster presentations on 16 November. Notices were sent from the email address: [email protected]. If you did not receive a notification email, please check your spam filter or please contact the Scientific Program Team.

The deadline to “publish” your interactive poster is 7 December; however, please note that authors will have access to make updates to their posters until 31 December.  Presenters must be registered for the meeting for the published poster to appear in the online poster gallery.

Each eLightning presenter will create a dynamic, interactive online poster through a web-based platform, aMuze! iPosterSessions. The iPosterSessions platform has been used by AGU for the last four years and is a flexible HTML based poster format that allows authors to create interactive presentations that can include:

• high-resolution images

• high-definition videos and animations

• detailed charts and diagrams

• slide shows

• audio files

• voice-over narrations

• scrolling content

• links to external data sets and other dynamic content

Please note, there is also a function for uploading a poster in a simple PDF format directly to the iPosterSessions platform; however, it is highly recommended that authors utilize the customizable templates within the iPosterSessions platform.

eLightning and Poster Presenter Training: Present Your Science: Powerful Posters

Please keep these tips in mind as you prepare for your presentation:

• Discuss the material as reported in your submitted and approved abstract. 

• Organize the presentation so it is clear, orderly and self-explanatory. 

• Be considerate of other speakers and the audience by staying within your allotted time. Session chairs will hold you to the allotted time, which is essential to ensure adequate time for questions and discussion with the online audience. 

• Take time to rehearse your presentation. If your presentation runs longer than your three-minute allotment, eliminate the least essential material and rehearse again. 

• Give an opening statement to acquaint the audience with the nature and purpose of the study. Speak slowly and clearly. Word choice should be simple: use active words and short sentences. Some viewers may be using online translation services. 

• For your individual discussion time, be prepared for longer and more in-depth conversations with attendees. 

Hybrid eLightning discussion sessions will occur in a dedicated eLightning theater area within the poster hall. Each eLightning session will be 75 minutes in length, starting with a three-minute lightning presentation from each presenter providing an overview of their dynamic, interactive poster. For the remainder of the session, presenters will go to their assigned touchscreen monitor to engage in one-on-one discussion with the audience.

Hybrid eLightning discussion sessions will not be recorded; however, in-person presenters can record an audio tour of their posters and use the iPoster platform to schedule additional text chat time, in addition to their scheduled session time, to engage with the online audience. In addition to scheduling a text chat time, presenters can also run their own individual live iPoster presentation and discussion, using any of the common web-based meeting services like Zoom, Webex, Microsoft Teams and others. Please note that once scheduled in the iPoster platform, the text and video chat times will appear with your abstract in the online program but are conducted completely at your discretion and fully in the iPoster platform.

Online presenters that are presenting in a hybrid session will create a 3-minute audio tour of their digital poster that the session chair can play on their behalf at the in-person theater. AGU will provide instructions on the process of creating a digital poster by early November, and the poster platform will offer the capability to add narration. We also suggest that online presenters schedule one or more times that they will be available online to engage in text or video chats about their digital poster. Once these presentation times have been set, they will be available within the online program for attendees to see when online presenters will be available for discussion.

Online-only sessions and events at the AGU Fall Meeting will make use of Zoom Webinar. In joining these, all attendees will be offered the option of using a web browser rather than the Zoom app. Most major participant functions are supported in the browser, including sharing screens, chat, and breakout rooms. Registered meeting attendees, presenters and chairs will use the online program to locate the links to the live online sessions on the day of the session.

Using the Online Presentation Platform

• You must be registered for the meeting to access the online platform. Please register at least 24 hours in advance of your session to ensure you have no delays or difficulties logging in to the online meeting platform.

• You will log in to the online platform 20 minutes prior to start of session.

• Further instructions will be provided closer to the meeting start date.

What is required of the online presenter?

• Online presenters will give a brief introduction and overview of their abstract and online poster, which they will display/share from their screen.

• Online presenters will participate in moderated Q&A with the other authors, chairs and registered attendees in the session.

• Online presenters are requested to schedule a text or live chat time on the day of their scheduled session via the online poster platform. Attendees will see presenters’ chat time availability in the online program.

What is the role of the session chair?
The session chairs will moderate the session, introduce presenters and moderate Q&A with authors and attendees.

Will there be technical support?
Yes, technical support will be available to help with any technical issues, assist in managing text chat and beginning and closing live sessions.
